Board of Trustees Meeting
Colfax Branch
January 18, 2011

 

Present: Becky Dickerson, Bob Bates, Jon Kehne, Teresa Myott, Kristie Kirkpatrick, Erica Willson and Peggy Bryan.

Becky Dickerson, board vice-chair, called the meeting to order at 4:02 p.m. She asked if there were any additions or modifications to the agenda. The minutes of the previous meetings were reviewed. Jon made a motion to accept the minutes and Teresa seconded. The motion carried.

Peggy presented the financial reports. She presented vouchers #10986-11003 totaling $79,056.40 from the general fund. Board members signed to accept payment of the vouchers.

Kristie presented circulation statistics for December and 2010 year-end. There was a drop of 11% system-wide from 2009 to 2010. Colfax materials circulation dropped by 19,667 in the small temporary site they were in for seven months, which was approximately the same amount overall circulation dropped. Overall branch materials circulation climbed by 612 check-outs. Malden’s materials circulation grew by 44% and Tekoa’s fell by 33%. Computer use grew by 3080 or 18%. The number of requests filled for patrons rose by 1675 or 8%. Attendance at library programs dropped by 290 or 1.2%. Online database usage grew by 5537 or 12%, Ask Us 24/7 use grew by 118 or 91%, Website grew by 42,306 or 17% and catalog self-transactions grew by 1369 or 4%. Volunteer hours grew by 938 or 68%. When factoring in the effect of the temporary Colfax location, Kristie felt the year’s statistics were very strong.

CONTINUED BUSINESS:

Kristie reported on a roof leak and repairs on the Colfax building. Granite Roofing who worked on the roof during the renovation inspected the leaks and reported it was in an area they had not worked on. The repair bill they sent was astronomical so architect Larry Kom reviewed the invoice and sent a letter recommending we pay about half of the invoiced amount. The library paid the amount Larry recommended and the issue seems to be resolved. There have been no further roof leaks.

Kristie gave an update on the Endicott project, which is attached. She continues to write grants and seek opportunities for this project.

Kristie reported that the library will purchase the Hamilton Building next week. The inspection revealed roof problems with ice damning up near the gutters. This problem has been resolved. The inspections revealed the building is in pretty good shape as far as buildings in downtown Colfax. The library plans to clean the building out and will later determine how to use the building. The goal is to have the building self-sufficient and not add to the operational costs of the library.

Kristie reported on Online Broadband Stimulus Project opportunities with Noanet. The Port of Whitman County will receive almost $10 million in federal stimulus money to strengthen rural telecommunications. The library and hospitals are key players in this project. More information is attached.

Kristie reported the mayor from Lamont has resigned and the library is waiting to see who the new mayor will be in this transition. Lamont had discussed contracting with WCL for library service and have received shelving and other items from the district in anticipation of offering library service. The non-profit group in LaCrosse continues to plan and fund raise for a combination grocery store, shops (possibly coffee, gift & chiropractor) and the library in the former grocery store building. Alex McGregor is one the key supporters of this project.

NEW BUSINESS:

Kristie discussed the election of officers for 2011. Following the rotation method, proposed officers are: Becky Dickerson—Chair, Jon Kehne—vice-chair and Teresa Myott—secretary. Jon Kehne made a motion to accept the slate of officers for 2011. Teresa Myott seconded and the motion passed.

Peggy presented resolution #01-11 to update the policy manual. Portions of the Strategic plan, purchasing of bibliographic services and library closure due to clement weather were presented. Teresa Myott made a motion to approve the resolution. Jon Kehne seconded and the motion passed.

Kristie announced that the library supporter of the month was Shannon Roe and Trevor Main of Malden. They were praised for the amazing use of the library and their countless hours of volunteer work.

Kristie announced that Celebration in the Stacks is tentatively scheduled for October 2011. She is working with the McGregor family to coordinate this event, with proceeds earmarked to benefit the meeting room.

Erica Willson gave the board a tour of the library website @ www.whitco.lib.wa.us. She demonstrated how to use the library catalog, databases and the location of the WORC website.

Kristie announced the service for Marie Doak will be on Saturday, February 22 at 10:00 a.m.

With no further business, the meeting was adjourned at 5:20. The next meeting is scheduled for Tuesday, February 15 at 4 p.m. in Colfax.
